What is LTGS WorkSpace

Built for structured teams that need clarity

LTGS WorkSpace System was created to solve a common problem in growing organisations: projects scattered across emails, spreadsheets, and verbal updates, with no single source of truth about what is happening, who owns what, or how far along a deliverable is.

The system centralises project registration, task management, team coordination, activity tracking, and automated reporting into one secure, role-aware workspace. Every action is recorded, every team member has a defined scope, and every project has a measurable outcome.

Whether you are a Project Manager overseeing multiple active engagements or a Team Member logging daily activity on a single task, the system gives you exactly the view you need no more.

Centralised Project Ownership
Every project is owned by a registered user and tracked from Draft to Completion with full history.
Role-based Access Control
Seven distinct account types ensure each user sees and does only what their role permits.
Real-time Progress Visibility
Task progress bands and activity logs give managers instant, accurate status on every deliverable.
Automated Project Reports
Consolidated reports capture members, tasks, and activities per project ready to export at any time.
Key Solutions

What this system solves for your organisation

LTGS WorkSpace is designed around six core problems that teams face when managing multiple concurrent projects with diverse, cross-functional staff.

Scattered Project Information
Every project is registered in a single, structured record with a unique reference, classification, type, financial value, and lifecycle status from Draft through to Completion or Cancellation. Nothing lives in a silo.
Project Registry Lifecycle Tracking
No Task Accountability
Tasks are numbered, named, described, and assigned a progress band (0–25%, 25–50%, 50–75%, 75–100%) with a clear status. Every task is linked to its parent project and cannot exist without one.
Task Tracking Progress Bands
Unclear Team Assignments
Each project has an explicit roster of team members with defined roles (Team Leader or Team Member), assigned task IDs, and full contact details. Managers always know who is on which project and what they own.
Team Rostering Task Assignment
No Audit Trail on Work Done
Every task accumulates activities timestamped records of what was done, by whom, in what role, with optional file attachments. Activity logs create an immutable audit trail for every deliverable.
Activity Log Audit Trail
Reporting Takes Too Long
Project reports are generated automatically per project, consolidating total members, total tasks, total activities, and a linked report document. What once took hours is now a single record update.
Auto Reports Instant Export
Siloed Project Communication
The Message Registry enables project-scoped communication with sender identity, role context, attachment support, and engagement tracking (views and reactions) keeping all project conversation in one place.

System Features

Six modules, one connected workspace

Every feature in LTGS WorkSpace is backed by a structured database module. Here is what each one does and how they connect to deliver a complete picture.

User Management
WPS Users Registry

Identity: Full name, National ID, Staff Reg Number
Organisation: Department, Division, Destination Title
Access: 7 account types, 3-state status (Active, Inactive, Blocked)
Sign In: Email, Phone, or Staff Number with OTP verification
Referenced by WPS Projects Registry as Project Owner
Project Registry

Identity: Unique reference, name, type, classification
Timeline: Start date, end date, 7-state status lifecycle
Finance: Project value (14,2 decimal precision)
Ownership: Linked to a registered system user
Parent of Tasks, Team, Reports, Messages
Owned by WPS Users Registry
Task Management
WPS Project Tasks

Breaks each project into numbered, trackable tasks with descriptions, progress bands, and status stages. Tasks form the executable backbone of every project.

Numbering: Sequential Task_ID_Number per project
Progress: Four bands — 0–25%, 25–50%, 50–75%, 75–100%
Status: Not Started → In Progress → Under Complete → Completed or Skipped

Parent of WPS Task Activities
Team Rostering
WPS Project Team_Member

Assigns real people to specific projects with a defined role and a list of the tasks they are responsible for. Keeps staffing explicit and auditable throughout a project's life.

Identity: Full name, National ID, Staff Reg Number
Role: Team Leader or Team Member per project
Scope: Assigned_Task_IDs maps exactly which tasks belong to this member
Belongs to WPS Projects Registry
Activity Log
WPS Task Activities

What: Activity description and file attachment URLs
Who: Member name, National ID, Staff Reg, Destination Title
Role: Team Leader or Team Member at time of entry
Belongs to WPS Project Tasks
Project Reports
WPS Project Reports

Counts: Total members, total tasks, total activities
Document: Linked report URL for download or sharing
Versioning: Added date and updated date track report history
Belongs to WPS Projects Registry
Project Messaging
WPS Message Registry

A project-scoped message board where team members, managers, inspectors, and stakeholders communicate with full identity context. Every message knows who sent it, what project it belongs to, and in what capacity the sender was operating. File attachments, view counts, and reaction counts enable richer collaboration and engagement tracking.

Context: Linked to a project by name and reference not a foreign key, allowing flexibility across project lifecycle states
Sender identity: Name, ID Number, Destination Title, and Project Role captured at send time
Engagement: Views_Counts and React_Counts enable message analytics
Roles supported: 10 sender roles including Stakeholder, Project Owner, Inspection Officer, and Division Manager
